Terminology
Employees. This is hopefully self-explanatory.
Service team. All the teams that use Atomicwork to provide employee support like HR, IT, Legal, Finance, etc.
Agents. These are all the employees who belong to service teams - IT managers, Onboarding Specialists, and FinOps managers. Agents work on managing requests as well.
People attributes
People attributes provide essential details about each employee, such as their role, department, reporting manager, and contact information. Atomicwork has 21 People attributes, by default, of many different types.
Work email is a mandatory attribute in Atomicwork and is the primary key for our records. This means that no two users can have the same work email. Without work email, we’ll use personal email as the primary key.

Creating a custom people attribute
You can customize people attributes to work for your team and processes.
Navigate to Settings > Employee data under Organization and click on the Attributes tab.
The default attributes are listed first, followed by your custom attributes.
To edit an existing attribute, click on the pencil icon against the attribute.
To create a new custom attribute, click on the Add button at the top right and choose the attribute type. You can create custom attributes from the following supported types:
Short text
Long text
Dropdown
Multi-select
Phone number
Email
Number
Date
Checkbox
Enter the display name.
Choose whether this attribute should be a mandatory attribute. We’d recommend you share a list of mandatory attributes with all employees who are in charge of data maintenance and updates.
Enter an API field ID. The API field ID is the name that will be visible as a placeholder and for API purposes.
Click on Add and you're done!
Importing people into Atomicwork
You can import employees into Atomicwork through a CSV import.
You can add people by sending them email invitations.
Importing employees through CSV
When you want to view a list of your employees or assign journeys to them, you can access the employee list by navigating to the Directory in the left navigation pane.
You can bring your employee list into Atomicwork via a CSV import. The sample CSV file is unique to every account, configured as per your People attributes. So, please make sure to review them so you know all the data you’re working with across journeys and requests.
Navigate to Settings > Import people under Organization. Alternatively, you can go to the Directory and click on the Import button at the top right.
Download the sample CSV file. The sample CSV file is unique to every account, configured as per your people attributes.
Copy your data into the CSV file and upload it to Atomicwork.
Please choose if you want us to overwrite data when matching records found in your CSV and the system.
For example, if you choose to overwrite data and already have Matt Smith in Atomicwork, uploading a CSV with his information will replace his profile data with the new details.
Click on Proceed to move to the next screen. This involves mapping CSV columns to the Atomicwork people attributes. Review/change the mapping so your information is imported correctly.
Click on Import. This will load the Import history page with a list of all past imports, their status, and any errors (downloadable as a CSV file). You don’t have to keep this page open - we’ll notify you via email once your import is complete.
FAQ: There were some errors in my CSV, and Atomicwork did not import all employees.
If there’s a data issue, Atomicwork will create a new CSV file with the rows that it failed to import along with the failure reason so you can correct the issue and reupload the files.

Syncing employee data from Slack/MS Teams
You can choose to sync your employee data from Slack or MS Teams. After the initial sync, Atomicwork will sync data from these sources every 24 hours.
Navigate to Settings > Import people under Organization. Alternatively, you can go to the Directory and click on the Import button at the top right.
Click on Settings in the MS Teams or Slack card (depending on which platform is connected to your Atomicwork account).
Toggle the Sync employee data option.
You can view which employee data will be synced from these platforms and how their attributes are mapped in Atomicwork.
Adding users using email addresses
You can add users to your account by sending them an email invitation.
Navigate to Settings > Users under Organization and click on the Users tab.
Click on Invite users at the top right.
Type out email addresses and assign a role. The selected role applies to all listed emails.
You can choose if new users receive an invitation email.
Click on Send invite.
Assigning roles and workspace access
Assign users to workspaces and manage their access to enable them to work on requests, view and create journeys, and add knowledge for Atom.
Navigate to Settings > Users under Organization and click on the Users tab.
You can add users to your Atomicwork account by clicking on Invite users at the top right. Type out their email addresses and assign permissions to them.
Click on ... for any employee in the list to update their roles and workspace access.
You can add them to specific workspaces and choose their workspace role.
Click on Update to save the changes.
You can also manage users directly in the respective workspace.
