Create and manage agent signatures

Learn how to create, format, and troubleshoot personalized agent signatures for public replies.

Agent Signatures allow support agents to create personalized, rich-text signatures that automatically append to public replies and comments on requests and change requests. This feature helps you add a personal touch to your support interactions and maintain consistent communication.

Create your signature

Each agent can create their own personal signature using the rich-text editor.

  1. Navigate to Settings > My Account.

  2. Select the Signature menu item.

  3. Compose your signature in the rich-text editor. You can use text formatting, such as bold and italic, to style your content.

  4. Save your changes.

Understand where signatures appear

Once saved, your signature automatically appears in the reply editor footer for both requests and change requests. However, it only displays under specific conditions.

  • Public replies: Your signature is appended automatically to all public replies visible to requesters.

  • Private notes: When you switch the editor to Private note mode, the signature is intentionally hidden. It will not append to internal comments.

Troubleshoot signature issues

If your signature is not appearing in the reply editor, review the following steps to resolve the issue.

  1. Check the note type. Signatures only appear on public replies. If your editor is set to Private note, the signature strip is hidden.

  2. Verify the signature exists. Go to Settings > My Account > Signature and confirm that your signature has been saved. Empty or whitespace-only signatures are not saved.
