This document includes communication templates, suggestions, and references as you prepare to announce and launch Atom for your employees. This guide is meant to be a reference; if you have any questions or need additional support, please contact your Onboarding Lead.

Workspace agents

We’re thrilled to introduce Atom, a brand-new AI Assistant, designed to make your work life easier and more efficient.

Key benefits of bringing Atomicwork on board:

  • Integrated and AI-powered employee service desk: Employees can ask questions, get solutions, and create and keep track of requests from Slack/Teams. Since support is just a message away, blended seamlessly into daily communication for convenience and efficiency, L1 questions can be automatically answered so they stay out of the agents’ queue. Our SharePoint account has be connected to Atomicwork so that information is easily searchable.

  • Streamlined IT service management: IT agents can manage not just service requests but also assets, incidents, problems, and changes from Atomicwork as well.

  • Advanced workflow automation: Automate approvals and repetitive requests and tasks in projects like onboarding and offboarding to focus on what matters.

What stays the same?

  • Alerts will continue to be managed through PagerDuty

  • Projects will continue to be managed through Asana

  • Documents will continue to be managed through SharePoint

What can you do with Atom?

  • Try creating a request by asking it a question like ā€œI need a visa company letterā€ or "I need a new magic mouse" and then clicking on ā€œGet helpā€

Atom is more than just a tool—it’s designed to assist each of you in optimizing your workflow. By handling routine tasks, offering quick access to information, and seamlessly integrating with the platforms we use, Atom will empower you to focus on more strategic, high-impact work.

Why did we make the switch?

  • We needed a more integrated service desk solution to serve as a one-stop shop for all things IT, HR and Workplace and make employee support more conversational. This will increase deflection rates and reduce workload for IT and HR teams. The service desk can also automate workflows like access requests, ticket creation, password-related tasks across teams and focus on actual value-add tasks

  • Workflow consolidation will also help us reduce the number of apps employees have to stay on top of for their service needs and consolidate our tech stack.

2-week employee communication journey plan

To set your employees up for success, consider a 2-week communication plan that will help employees get familiar with Atom's capabilities and realize small wins. Please work with your onboarding lead to plan what capabilities you'd like to highlight for your employees to realize your deflection goals.

  1. Usecase 1: Look for information

    Hello! I’m Atom [Assistant name] and I can help you get what you need fast so you have time to focus on important tasks!

    Here are some questions you can ask me:

    • "What is the WiFi password?"

    • "How do I change my VPN gateway?"

    • "Where can I find sales enablement collateral?"

  2. Usecase 2: Create a request and get status

    Hello! Did you know that getting help can be really really straightforward? All you have to do is:

    • Ask me a question like ā€œHow do I get a new laptop?ā€

    • Click on ā€œGet helpā€

    • Fill out the form

    • And voila! A ticket will be created in your name and logged.

  3. Usecase 3: Limitations

    As your AI Assistant, I'm here to streamline your work and provide quick answers. However, I do have a few limitations.

    I can access your organization’s data but I can’t surf the Internet like ChatGPT can so I might not be able to answer every question you have. I have also been trained to protect your data so I won’t store your personal information or pass it on to someone else.
